Self-Drive Rental Agreement
Please read these terms and conditions carefully before using our car rental services.
1. Vehicle Cleanliness
The vehicle is provided washed and with a clean interior and must be returned in the same condition. If the renter is unable to clean the vehicle before return, an applicable washing and interior cleaning fee will be charged.
2. Fuel & Refuelling
The vehicle must be refuelled only at Shell, TotalEnergies, or GOIL service stations. RideReserve may request fuel purchase receipts to verify that refuelling was done at approved vendor points. The renter will be liable for damage caused by contaminated or incorrect fuel obtained from an unapproved source.
3. No Transfer or Subletting
The renter must not lend, transfer, sublet, or allow any other person to drive or take possession of the vehicle without prior approval from RideReserve.
4. No Overloading
The vehicle has a maximum capacity of 5 persons, including the driver. The renter must not carry more than the permitted number of occupants at any time.
5. Fuel Level
The vehicle must be returned with the same fuel gauge level as recorded at pickup. Any fuel shortage at return will be charged to the renter.
6. Fines & Penalties
The renter is responsible for all traffic fines and road penalties incurred during the rental period.
7. Security Deposits
Security deposits may be used to cover vehicle damage, missing items, fuel shortages, fines and other rental-related charges. The deposit will be refunded after the vehicle and tracker records have been inspected. The deposit does not limit the renter’s liability. Where losses exceed the deposit, the renter remains responsible for paying the outstanding balance.
8. Travel Itinerary
Any undeclared destination, material route deviation or unauthorised intercity journey attracts a GHS 200 Travel Itinerary Breach Charge.
9. Intercity Travel Time
For driver and vehicle safety, including driver fatigue, car theft and subletting prevention, RideReserve rental vehicles must not be used for intercity travel between 11:00 PM and 4:00 AM. If the renter cannot reach the destination safely before 11:00 PM, the vehicle must be parked at a safe and secure location until 4:00 AM, when the journey can be continued. Unauthorised intercity travel between 11:00 PM and 4:00 AM attracts a GHS 300 Safety Policy Breach Charge. The renter shall additionally be responsible for any resulting loss, damage, car theft or other costs due to breach of this policy.
10. Prohibited Stunt and Reckless Driving Policy
RideReserve vehicles must not be used for donuts, drifting, burnouts, racing, excessive wheel-spinning or any other stunt or reckless driving activity.
Any violation shall attract a GHS 1,000 Safety Policy Breach Charge and may result in immediate termination of the rental and refusal of future rentals.
The renter shall also pay the full cost of tyre replacement, towing, repairs, loss of rental income and any other damage or expense resulting from the prohibited activity. The GHS 1,000 charge does not limit the renter’s total liability.
11. Rental Cancellation, Rescheduling & Refund Policy
All cancellations must be submitted through the My Booking section of the RideReserve website. Refunds are calculated based on the time remaining before scheduled vehicle collection:
- More than 48 hours: 100% refund.
- 24 to 48 hours: 75% refund.
- Less than 24 hours: 50% refund.
- At or after collection time, or no-show: No refund.
If RideReserve cancels a booking because the reserved vehicle or a suitable replacement is unavailable, the customer will receive a full refund.
Rescheduling
Customers may reschedule once without an amendment fee at least 24 hours before collection, subject to vehicle availability. Rental prices will be recalculated, with any difference charged or refunded. Requests made less than 24 hours before collection require RideReserve approval. Rescheduling does not waive cancellation charges already applicable at the time of the request.
Early Returns
Unused rental days are non-refundable if the customer returns the vehicle early or voluntarily ends the rental after collection, unless otherwise agreed or required by law.
Refund Processing
Approved refunds will be returned through the original payment method within the following estimated periods:
- Mobile Money: 3–5 business days.
- Card Payments: 5–10 business days.
Third-party payment processing charges may be non-refundable where permitted by law and disclosed before payment.
12. Local One-Day Rental
Local One-Day Rental means a rental period of up to 12 consecutive hours from the vehicle collection time, during which the vehicle is used only within the approved local operating area or city.
13. Late Vehicle Return Policy
The vehicle must be returned on or before the agreed return date and time stated in the Rental Agreement. Late-return charges shall be calculated from the original agreed return time, unless RideReserve has formally approved a revised return time.
- Up to 2 hours late: No charge (grace period).
- More than 2 hours to 4 hours late: GHS 300.
- More than 4 hours late: An additional full day's rental charge applies, replacing the GHS 300 late-return fee.
An additional day's charge for late return does not constitute a rental extension or authorise continued use of the vehicle. Only an extension formally approved under the Rental Extension Policy permits the renter to retain the vehicle beyond the agreed return time. The renter remains responsible for the vehicle and all applicable rental obligations until it is returned and accepted by RideReserve.
14. Rental Extension Policy
A renter who wishes to keep the vehicle beyond the agreed return date or time must request and receive RideReserve approval. Where the extension is requested and approved before the scheduled return time, no late-return charge shall apply. The renter shall only pay the applicable rental charge for the approved additional period.
Where an extension is requested after the scheduled return time, any applicable charge under the Late Vehicle Return Policy shall remain payable for the period of unauthorised lateness. If the extension is subsequently approved, the renter shall pay the applicable additional rental charge. The new rental period shall be calculated from the original scheduled return time, not from the time the extension was requested or approved.
15. Low Fuel Level Policy
The renter is responsible for maintaining sufficient fuel throughout the rental period and must refuel the vehicle when the low-fuel warning indicator appears.
Where the vehicle is returned with the low-fuel warning indicator illuminated, the renter shall:
- Pay a GHS 200 low-fuel breach charge.
- Pay the fuel replenishment cost required to restore the vehicle to the fuel level recorded at the beginning of the rental.
Where the vehicle runs out of fuel during the rental period and requires roadside assistance, towing or recovery, the renter shall be responsible for the applicable recovery costs. Where inspection or diagnosis confirms that operating the vehicle with insufficient fuel caused or contributed to mechanical or fuel-system damage, the renter shall be responsible for the reasonable verified repair costs.
16. Acknowledgement & Acceptance
By proceeding with the booking, the renter confirms that they have read, understood, and agree to be bound by RideReserve’s Self-Drive Rental Agreement, including its terms, conditions, responsibilities, and applicable policies.
